Logo Factory Policy

1.1)  Preface 

A) The IdeaPros, Inc. D/B/A Logo Factory is referred to as "Logo Factory."

B) “Associate” refers to any employee, full or part-time, or Independent Contractor conducting work for Logo Factory.

C) This policy does not create or guarantee a contract of employment and may be discontinued at the Company’s discretion, subject to applicable law.

D) This manual is updated annually.  Periodic changes/corrections may occur with written notice throughout the year.

 

Accurate Books and Reporting

2.1)  No false or artificial entries in Logo Factory’s books or records will be made by anyone or at anyone’s direction for any reason. All reporting of information (including, but not limited to: expense reports, accounts receivable/payable, invoicing, payroll data, workorders, etc.) must be accurate, honest and timely and should be a fair representation of the facts.

 

Conduct Policy

3.1)  No Associate shall provide information, directly or indirectly about Logo Factory or any of its customers to any competitor for any reason. No associate shall sell directly to any customer, new or repeat, without following the standard ordering process, using Logo Factory as sole provider for goods and services.

3.2)  When parking in the main lot (off Bridge Street) Associates should park in the southern row, furthest from the building. When parking in the back lot (off Bristol Street) parking should only take place north of the center door.

3.3)  Associates are expected to return telephone/email messages to fellow associates as well as to customers in a timely fashion. All messages should be replied to within four business hours or by the next business morning.

3.4)  Personal cell phones should only be used for business related matter or occasional personal contacts.  There should be no internet, social media or gaming of any kind during scheduled work time. 

3.5)  Per Illinois statuate, 7 hour workdays do not mandiate any meal breaks.  However, Logo Factory encourages paid working meal breaks.  Assoicates under the age of 18 will get a 15 minute break after 5 hours of work.

3.6)  Upon the completion of each shift worked, Associates are expected to leave the workstation clean and organized by putting things in their place and cleaning up all debris and emptying trash containers.  The workstation should be left in a cleaner state than when they arrived.

3.7)  In order to preserve efficient production, all supplies such as pens, blades, scissors, markers, tape… shall be put back where it was found.

3.8)  Any Associate that has been issued a key to the building is responsibe for its whereabouts.  Keys may not be duplicated.  Any lost keys will result in a re-key charge of $150 to the Associate that loses the key.

 

Employment/Equal Opportunity

4.1)  Logo Factory is committed to a policy of equal opportunity treatment for all Associates and prospective Associates. It is Logo Factory policy to hire, promote, discipline and make all other personnel decisions without regard to race, color, religion, national origin, age, sex or disability.

 

Payroll

5.1)  Logo Factory operates on a biweekly payroll schedule, meaning Associates are paid every other Friday.  Paychecks are distributed through direct deposit into Associates designated bank account.  Payments will be processed and issued on the Friday following the end of the pay period.  This equates to a one week lag time form the end of the period worked to the issue of payment into the Associate's account.

5.2)  Quarterly bonuses be made available to Associates.  Payment of any such bonuses will be paid by the final day of the following month the bonus was achieved.

5.3)  Part-time Associates are to fill out and accurate time sheet each day they work. 

5.4)  Full-time salaried Associates are classified as exempt or non-exempt in accordance with applicable federal and Illinois law. Compensation is based on a standard 35-hour workweek, recognizing that additional hours may be required as business needs dictate.

 

Commission

6.1)  This section has been deliberately been omitted.

 

Paid Time Off (PTO)

7.1)  To provide work life balance for employees, Logo Factory provides paid time off for both part-time and full-time employees. Employees earn paid time off to use for any reason. This program combines traditional vacation, sick leave and personal time into one paid time off (PTO) policy.

7.2)  UPFRONT ALLOCATION - Associates are provided with an annual PTO that is allocated in full at the beginning of each calendar year (or upon hire).

*Additional Bonus up to 35 hours paid may be available for the Christmas/New Year's Holiday for full-time Associates.  See section 10.2.

 

7.4)  Although PTO is allocated in full at the beginning of the year, PTO is earned (accrued) on a prorated basis throughout the year, based on the Associate’s length of service during that year.  PTO accrues evenly over the year and is considered earned only as it accrues.  Use of PTO in advance of accrual does not change the fact that PTO is earned only as accrued.  

7.5)  Associates should schedule time off by providing Logo Factory with as much advance notice as possible. PTO requests should be submitted in Outlook under the calendar named "Paid Time Off (PTO) Request". Requests for PTO will be granted depending on the company’s workload and staff availability. Every effort will be made to grant time off as requested as long as it does not interfere with a department’s operations.

7.6)  Associates who have an unexpected need to be absent from work, like a sickness, should notify their supervisor before the scheduled work shift or as soon as possible.

7.7)  PTO is earned only during the applicable benefit year and does not carry over from one year to the next. Any unused PTO not used by the end of the benefit year will not be available in the following year.  Employees are encouraged to schedule and use PTO during the year in which it is earned.

7.8)  Upon separation of employment for any reason, Associates will be paid for unused PTO that has been earned (accrued) as of the Associate’s last day of work, in accordance with Illinois law.  Any PTO used but not yet earned (unaccrued) as of the separation date will not be paid and may be deducted from the employee’s final paycheck, to the extent permitted by law.

7.9)  Final Paycheck Authorization - By using PTO prior to accrual, the Associate acknowledges and agrees that any unearned PTO used may be deducted from the final paycheck.

 

Paid Holidays

8.1)  There are six (6) Paid Holidays: Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the day after Thanksgiving.

8.2)  Associates employed for one year are compensated for these days off. Part-time Associates will only be compensated for a holiday if it falls on their regularly scheduled workday. If the holiday falls on a Saturday, the holiday is observed on the Friday before the holiday. If the holiday falls on a Sunday, the holiday is observed on the following Monday.

 

Leave of Absence

9.1)  Bereavement leave is a separate leave benefit provided to Associates and allows up to one week unpaid time off.  It is provided only when used and has no cash value and is not paid out upon separation of employment.  Associates may elect to use PTO to remain paid during this unfortunate time off.

9.2)  Jury duty leave is a guaranteed leave but is unpaid by Logo Factory.  PTO may be used by the Associate to remain paid during this civic duty.

 

Holiday Shut-Down

10.1)  Logo Factory is on Holiday Shut-Down for a period generally from December 24 - January 2.  This is unpaid time off to provide families an added opportunity to spend time together. 

10.2)  The Holiday Shut-Down may, at the sole discretion of Logo Factory, become a paid bonus if the Company remains profitable after all obligations are met. This bonus is discretionary, non-guaranteed, and does not constitute earned wages.  The Bonus is determined by each Associate's average weekly hours worked over the three previous month with a maximum of 35 Bonus hours paid.  This Bonus is only available for full-time Associates.

10.3)  In the event the Bonus is earned and the Holiday Shut-Down period is longer than 5 working days (35 hours), the additional days off will be unpaid.  Any unused PTO that an Associate has, may be used to be paid for shut-down days.

10.4)  No other Holiday bonus will be offered or is entitled.

 

Insurance Coverage

11.1)  All full time Associates are eligible for health insurance coverage managed by Allstate Health Solutions.   Coverage begins the first of the month after 60 days of employment.

11.2)  There are four plan options to choose from.  Open enrollment happens for all new hires at time of hire.  For all other full time Associates, there will be a one-time per year Open enrollment period.

11.3)  Logo Factory will pay 55% of the monthly premium up to $275 per month.

     Health Insurance Benefit Details

11.4)  Additional benefits such as Vision, Dental, Life and Accident insurance will be available.  These plans may only be available if a minimum of two Associates enroll.

 

401k Retirement Savings

12.1)  All full and part time Associates who are at least 18 years old and have had at least three months of service are eligible to participate on Safe Harbor 401k Retirement Savings Account.  Once an associate meets the criteria, an enrollment email will be sent to the Associate. 

12.2)  Participation is voluntary and Associates may opt out if they choose.  If he/she fails to respond during the required timeline, they will be auto enrolled at a 5% contribution amounts.

12.3)  Logo Factory will match 100% of contributions on the first 3% deferred, then 50% of contributions from 3% to 5%.

 

Associate Purchases

12.1)  Associates may purchase any items from Logo Factory for personal use with a 50% discount off the standard price. 

12.2)  Family Discounts can be used for family and close friends with a 25% discount off the standard price.

12.3)  Any removal of Company owned equiptment, materials, inventory or product, not in complience with 12.1 or 12.2, without the permission of Logo Factory ownership will be considered theft.

 

Independent Contractors

14.1)  IREP (Independent Rep) associates and miscellaneous temporary help will be paid on a 1099 basis. IREP sales commissions will be paid when sale is paid for by the customer.

14.2)  All Independent Contractors will be held liable for their own actions while working on behalf of Logo Factory. Any errors or mistakes caused by the Independent Contractor will be paid for by the Independent Contractor who caused the error or mistake through reduction of payment and or litigation. In addition to payment reduction, legal action may be taken by Logo Factory against any Independent Contractor that has damaged Logo Factory in any way. Logo Factory may pursue recovery for damages resulting from the Independent Contractor’s actions, including reasonable legal fees and costs, consistent with applicable law.  The Independent Contractor will pay all attorneys’ fees and associated legal and court costs for any such action. The venue for any legal action will be in Illinois State court in Kendall County, Illinois.

14.3)  All Independent Contractors and Sub Contractors are required to be insured with a minimum liability plan of $500,000 and must be able to provide proof of insurance to Logo Factory.

 

Assigned Account Manager

15.1)  The AM/IREP who opens the account (places the first order) will be the ‘Assigned Account Manager’ or Rep for that account in Quick Books. Commissions are, as default, paid to the Assigned Account Manager for all sales to that customer.

15.2)  Any subsequent orders for that customer, regardless of who turns in the order will be awarded to the Assigned Account Manager.

15.3)  Any customer that places initial order by contacting or coming into the shop will become House Accounts.

 

Discipline

16.1)  Formal discipline may be given for poor conduct or breaking Logo Factory policy or procedures.

First Offence = Written Warning.

Second Offence = Second Written Warning.

Third Offence = Final Warning including Suspension and Possible Termination.

 

Termination of Employment

17.1)  During employment and for a period of twelve (12) months following separation, the Associate agrees not to directly or indirectly solicit or attempt to solicit any customer of Logo Factory with whom the Associate had material business contact during the last twelve (12) months of employment, for the purpose of providing competing goods or services.  Upon termination, all Logo Factory owned equipment and payments collected by Associate must be returned or turned in within 48 hours of termination.

17.2)  Failure to disclose pending work orders may result in Logo Factory seeking recovery of actual damages incurred, including lost profits and reasonable costs associated with completing or recovering the work order, to the extent permitted by law.Failure to disclose pending work orders may result in Logo Factory seeking recovery of actual damages incurred, including lost profits and reasonable costs associated with completing or recovering the work order, to the extent permitted by law.

17.3)  Final Pay will be paid by Logo Factory at the next scheduled payroll date after termination. The associate will be entitled the following payment as compensation for the Final Pay period:

1. Salary (if applicable) for any hours worked, plus any accrued PTO/minus any owed accrued PTO.

2. Commission for any orders that have been paid by the customer.

3. Any open customer invoices that the Rep has been paid commission on will be revoked.

4. The value of any unreturned Logo Factory owned items (within the 48 hour timeframe) will be deducted at time of Final Pay.

5. Any lost or unreturned keys may result in a re-key charge of up to $150.

Logo Factory Policy Acknowledgment Form

I acknowledge that I have received, read, and understand the Logo Factory Associate Handbook and Policies.

I understand that the handbook contains important information about Logo Factory’s policies, procedures, expectations, and benefits. I agree to comply with all policies and procedures described in the handbook and with any updates or revisions that may be issued by Logo Factory from time to time.

I understand and acknowledge that:

  • This handbook does not create a contract of employment, express or implied.
  • My employment with Logo Factory is at-will, meaning that either I or Logo Factory may terminate the employment relationship at any time, with or without cause or notice, subject to applicable law.
  • Logo Factory reserves the right to interpret, modify, suspend, or discontinue any policy, benefit, or practice described in the handbook at its discretion, subject to applicable law.
  • I am responsible for maintaining the confidentiality of Logo Factory’s proprietary and customer information.
  • I agree to return all Logo Factory property, including but not limited to keys, equipment, materials, documents, and customer information, immediately upon separation of employment.
  • I understand that failure to comply with Logo Factory policies may result in disciplinary action, up to and including termination of employment.

I understand that questions regarding the handbook or its policies should be directed to my supervisor or Logo Factory management.

Logo Factory Wage Deduction Authorization Agreement
(Illinois Wage Payment & Collection Act Compliance)

 

I, the undersigned Associate, voluntarily authorize The IdeaPros, Inc. d/b/a Logo Factory (“Logo Factory”) to make lawful deductions from my wages or final paycheck only as permitted by Illinois law and only as specifically authorized below.

I understand that no deductions will be made that would reduce my pay below the applicable minimum wage or overtime requirements.


Authorized Deductions

I specifically authorize Logo Factory to deduct the following amounts, only if applicable and only to the extent permitted by law:

Unearned Paid Time Off (PTO)
Value of PTO used but not yet accrued at the time of separation of employment.

Unreturned Company Property
Including, but not limited to: keys, uniforms, equipment, tools, devices, or materials not returned within required timeframes.

Lost or Damaged Property Due to Negligence
Replacement or repair cost for company-issued property lost or damaged due to my negligence, up to documented replacement cost.

Key Replacement / Re-Key Costs
Actual cost incurred by Logo Factory to re-key the building due to lost or unreturned keys, not to exceed $150.

Payroll Corrections
Overpayments, duplicate payments, or payroll processing errors.

 



Conditions & Acknowledgments

I understand that all deductions must be lawful, reasonable, and supported by documentation.

I understand that this authorization does not permit deductions for normal business losses, ordinary wear and tear, or errors beyond my control.

I understand that I may revoke this authorization in writing at any time, except for deductions already incurred or required by law.

I understand that this authorization remains effective during my employment and, where applicable, upon separation of employment.
